Troubleshoot duplicate lifecycle stage fields in HubSpot

Show why HubSpot Contacts lifecycle stage fields with the same name can show as two fields in Funnel.

Problem summary

You can see the same lifecycle stage field two times in Data Explorer and in your dimensions and metrics. The name of a field from a custom lifecycle pipeline ends with (custom). If two custom pipelines have the same pipeline name and the same stage name, the two field names are the same.

Error message or symptoms

You can see field names like these two times:

  • Dimension: Date entered "Marketing Qualified Lead (Lifecycle Stage Pipeline)"

  • Metric: Cumulative time in "Contact (Lifecycle Stage Pipeline)"

One name ends with (custom). The other name does not end with (custom). If two custom pipelines have the same pipeline name and the same stage name, the two names end with (custom). You cannot see which pipeline a field comes from.

When does this occur

You see the fields in Data Explorer or in your dimensions and metrics.

You see the same field two times when:

  • A stage name in a custom lifecycle pipeline is the same as a stage name in the default lifecycle pipeline.

  • Two custom lifecycle pipelines have the same pipeline name and the same stage name.

For example, the pipeline name is Lifecycle Stage Pipeline. The stage name is Contact.

Root cause

Funnel puts HubSpot fields with the same property key into one field. Funnel does not use the name that you see.

The default lifecycle pipeline has a key with a name that does not change. For example, the key is hs_v2_date_entered_marketingqualifiedlead.

A custom lifecycle pipeline has a key that contains a number. For example, the key starts with hs_v2_date_entered_ and then has a number. The stage name can be the same as a stage name in the default pipeline. The keys are not the same. Funnel keeps the fields as two fields.

Funnel adds (custom) at the end of the name of a field from a custom pipeline. The values in Funnel do not change. Funnel continues to use the property key to put fields together. You see the new name the next time that Funnel downloads the data source.

Two custom pipelines can have the same pipeline name and the same stage name. HubSpot gives each pipeline a key with a number. These keys are not the same. Funnel keeps the two fields as two fields. Funnel makes each field name from the pipeline name and the stage name. If the pipeline names are the same and the stage names are the same, the field names are the same. The two field names also end with (custom).

Solution

Find the field from a custom pipeline

It is not necessary to make a change in Funnel. The name of the custom pipeline field ends with (custom). If you do not see (custom) at the end of the name, wait for the next download. Funnel shows (custom) after that download. The values in Funnel do not change.

Change the name of one custom pipeline

The two pipeline names must not be the same.

  1. In HubSpot, go to Settings > Objects > Contacts.

  2. Open the lifecycle stage pipelines.

  3. Find a pipeline that has the same name as the other pipeline.

  4. Change the name of that pipeline.

  5. Save the change in HubSpot.

After the next download, the field names include the new pipeline name. If the pipelines are in two HubSpot accounts, change the name in the account that has the pipeline.

Make one custom field

Funnel keeps these fields as two fields because their HubSpot keys are not the same. Make one custom field to use the two fields as one value.

If the field is a dimension:

  1. Go to Data > Organize > Dimensions.

  2. Make a custom dimension.

For example, the dimension can be the date that a contact entered the stage. See Custom dimensions explained - The Basics.

If the field is a metric:

  1. Go to Data > Organize > Metrics.

  2. Make a custom metric that includes the two fields.

For example, the metric can be "Cumulative time in a stage". See Create a custom metric.

Use the custom field in Data Explorer. Do not use the two pipeline fields.
