Salesforce Reports: Troubleshooting

Troubleshoot timestamp limits, authentication, and permissions for Salesforce Reports.

Timestamp limitations

The Salesforce Reports API comes with certain limitations. One of which is that a report can only have 100 columns, groupings included. A work around to this if you need more than 100 is to split the report in two or more, for example.
Another one is that you can only retrieve 2000 rows of data per timestamp. The timestamp here being the date you selected to attribute your data to when you connected the source.

In order to get around this timestamp limitation we suggest:

  • Pick another date when connecting that always exists and is more evenly distributed.

  • Filter/group the data in the report in your Salesforce UI before connecting it to Funnel to only include the data you need.

  • Try out the standard Salesforce connectors to see if they can help. The downside of this solution would be that you would need to then join the data in your destination (where you are planning on exporting the data to).

  • If none of the above seem to solve this, please contact support.

Why the "Total Records" Count May Have a Small Mismatch

The field "Number of Reports" (the record count displayed in Funnel) may not exactly match the Salesforce UI's "Total Records" value. This difference is purely due to how time zones are calculated.

The Time Zone Constraint

  • Salesforce UI: When you view a report in the Salesforce UI, it uses your local user time zone to determine which records fall into the filtered dates (e.g., "Yesterday" or "This Month"). This makes the total count user-specific.

  • Funnel (via API): The Salesforce Reports API does not provide Funnel with the necessary user-specific time zone data to replicate this exact calculation.

  • The Result: Funnel processes all report data using the universal standard time, UTC (Coordinated Universal Time). This difference in time zones can cause a few records that fall exactly on a midnight boundary (when one day ends and another begins) to be included or excluded differently than they are in the Salesforce UI.

Why does a field come into Funnel as a metric instead of a dimension?

What you see: A number or percentage field, such as "Influence (%)", that you use to group data in Salesforce shows up in Funnel as a metric, not a dimension.

Why it happens: Funnel decides how to import each field based on how Salesforce describes it in the report:

  • Number, currency and percent columns become metrics.

  • Row and column groupings, and text fields, become dimensions.

What to do: To use a number field as a dimension, make it a row grouping in your Salesforce report (in Lightning Report Builder: Outline > Group Rows). Save the report, then let the data source sync again.

Authentication Failed

Ensure that you are not trying to connect a Salesforce sandbox org. In order for Funnel to fetch data from Salesforce, you need to connect your Salesforce production org.

More about Salesforce sandboxes here.

Connecting a second Salesforce org, or the login lands on the wrong org

If you're already logged in to Salesforce in your browser, Salesforce signs you in to that org automatically. That means the connection goes to the org you connected first, not the new one.

To connect a different org:

  • Open Funnel in an incognito or private window, or log out of Salesforce first.

  • If your org uses My Domain, choose Use Custom Domain on the Salesforce login page and enter your domain.

Error: "app must be installed into org"

What you see: The connection fails with an OAuth error, and the page address contains error_description=app+must+be+installed+into+org.

Why it happens: Your Salesforce org restricts which connected apps users can authorize. Funnel connects through its own connected app using OAuth, so there's no managed package to install from AppExchange.

What to do: Ask your Salesforce admin to allow Funnel's app under Connected Apps OAuth Usage. The admin may need to grant the permission Approve Uninstalled Connected Apps temporarily so the first authorization can complete.

Details for your IT or Salesforce admin:

  • Callback URL: https://connector-web.funnel.io/authenticate/salesforce/oauth2Callback

  • Scopes requested: api, refresh_token / offline_access, and pardot_api (ignored if you don't use Pardot)

  • Funnel can't connect through a connected app that you create yourself. Use Funnel's connected app.

Error: "Access Denied. Invalid credentials 400 client error"

What you see: The data source shows No Access, and running it or reconnecting it fails with Access Denied. Invalid credentials 400 client error.

Why it happens: The access details Funnel has stored for this connection are no longer valid, so reconnecting with the same stored credentials doesn't help.

What to do:

  1. In Salesforce, open the report that the data source is connected to.

  2. Go back to Funnel and reconnect the data source using Add credentials, so you sign in again with fresh credentials rather than the stored ones.

If a colleague can connect but you can't, compare your Salesforce permissions with theirs (see User permissions below).

Connection fails after Salesforce's Summer 2026 security changes

Since mid-July 2026, Salesforce's step-up authentication and stricter connected app controls can block the sign-in to Funnel. Try these options in order:

  1. Open the report you want to connect in Salesforce first. Then, in the same browser session, connect it in Funnel.

  2. Ask your Salesforce admin to check Funnel's connected app: set Permitted Users to All users may self-authorize, make sure the session policy isn't High Assurance, and check that Funnel isn't blocked under Connected Apps OAuth Usage.

  3. Connect with a new Salesforce user that has API enabled, Run reports and View reports in public folders.

User permissions

The user connecting the source needs the following user permissions for Funnel to be able to retrieve the report. These organised by settings category.

Object Settings

  • {object's name} - Read access

System Permissions

  • API enabled

  • Run reports

  • View reports in public folder

If you want to fetch a custom report type, you also need the following permissions.

  • Manage custom report types

  • View setup and configuration

  • View roles and roles hierarchy
