Schedule tasks

Run a Funnel AI prompt on a schedule and send the results by email or Slack.

Schedule a Funnel AI prompt when you want the same question to run on a schedule, or when you only want the result when a condition is met. Each run is saved in the task's run history. You can also send the result by email, in Slack or both.

Before you begin

  • You have access to a Funnel workspace. Scheduled tasks are available on all plans.

  • To create and manage tasks, you need permission to edit the workspace. Tasks belong to the workspace, so any workspace editor can manage all tasks, including tasks other people created. If you don't have permission, contact your workspace admin.

  • To send results to Slack, install Funnel AI in Slack and connect your account. See Integrate Funnel AI with Slack.

  • If you haven't used Funnel AI yet, see Getting started with Funnel AI.

Schedule a task with Funnel AI

  1. In the left menu, go to AI > Scheduled tasks.

  2. Click Schedule task with Funnel AI. Funnel AI opens a chat with a prompt. Edit the prompt, if needed, and describe the task.

  3. Review the task card. It shows the name, prompt, Schedule, Notification and Status.

  4. (Optional) Click Edit to change the details, and click Save changes.

  5. Click Confirm or Confirm and always allow.

Note: Click Cancel to discard the task. Confirm and always allow creates this task and lets Funnel AI create tasks in the future without asking you. You can change this under AI > Tool permissions.

To start from a ready-made task instead, go to the Example tasks section on the Scheduled tasks page and click Enable on the task you want, for example Daily Performance Pulse.

Schedule a task manually

  1. In the left menu, go to AI > Scheduled tasks.

  2. Click Schedule task manually.

  3. Enter a Name and a Prompt.

  4. Select a Frequency: Hourly, Daily, Weekdays, Weekly or Custom (cron). For Daily, Weekdays or Weekly, set the time. For Weekly, also set the day. Enter a Timezone, for example Europe/Stockholm. Hourly tasks don't have a timezone.

  5. Under Send the result to, select Email, Slack or both.

    • Email sends the result to the address you sign in with. Under Email recipients, add up to 49 other workspace members. The task owner also receives the email.

    • Slack appears after you connect Funnel AI in Slack. Under Slack destination, select Direct message to me or A channel. Choose a channel from the list, or click Enter a channel ID or link and paste the channel ID or link. If you don't see the channel, send /invite @Funnel AI in that Slack channel. Anyone in the channel can see the result.

    • Clear both check boxes to keep the result in the chat only.

  6. (Optional) Click Run now to preview the result once without saving the task.

  7. Click Create.

Schedule a task that only notifies you when a condition is met

A conditional task runs on its schedule, but only sends you the result when the condition in the prompt is met. Use it for alerts, for example to get a message only when cost drops below a threshold.

With Funnel AI

  1. In the left menu, go to AI > Scheduled tasks and click Schedule task with Funnel AI.

  2. Describe the condition, for example Every morning, email me only if yesterday's cost for any brand is below 5,000 SEK. Funnel AI asks for anything that's missing, such as the metric, breakdown, period, threshold and what to send when the condition is met.

  3. Review the task card and click Confirm.

Manually

Follow the steps to schedule a task manually, and write the condition in the Prompt. State the metric, the breakdown (if any), the period, the comparison and the threshold. Be specific:

  • Specific: Send me the results only if cost per brand for yesterday is below 5,000 SEK.

  • Too vague: Send me the results if cost looks too high. Funnel AI can't evaluate this condition.

How conditional runs work

  • When the condition isn't met, Funnel doesn't send an email or a Slack message. The run shows Nothing to report in the run history, with a short note about what was checked. The chat is still saved.

  • If the data isn't available, the run reports that instead.

  • Daily is usually the right frequency. Checks only see data that Funnel has already imported, so checking more often than your data refreshes doesn't help.

What to expect

The task appears on the Scheduled tasks page and runs on the schedule you set. Each result is saved to a chat you can open from the run history. If you selected Email or Slack, Funnel also sends the result there, unless a conditional task has nothing to report.

Manage a scheduled task

  1. In the left menu, go to AI > Scheduled tasks.

  2. On the task, click More actions and select an action:

    • Run history: See past runs. Click Open chat to see a result, or Watch live while a run is in progress.

    • Run now: Run the prompt once without waiting for the next scheduled time.

    • Pause: Stop future runs. Existing results stay in the run history. On a paused task, select Enable to start it again.

    • Edit: Change the task and click Save changes. You can also click the task to edit it.

    • Delete: Delete the task. In the Delete entry dialog, click Delete.

Note: If emails to a recipient bounce, the task shows a warning with the number of bouncing recipients. Edit the task and, under Email recipients, remove the recipient or check the address.

Who can change a task

  • Any workspace editor can change a task's name, prompt, schedule and email recipients, and turn email on or off.

  • Only the task owner can turn on Slack or change where it posts. Other editors can turn Slack off.

  • A task always runs as its owner, even when someone else edits it.

  • If the owner leaves the workspace, the task pauses. An editor who resumes or saves the task becomes its owner, and Slack is turned off.
