Manage tool permissions in Funnel AI

Choose which Funnel AI actions run without asking for your approval.

Tool permissions decide whether Funnel AI asks for your approval before it makes a change in your workspace, such as updating a dashboard or creating an export. Set them when you want Funnel AI to finish longer tasks without stopping, or to block actions you never want it to take. Your settings apply only to you, in the current workspace, so set them again in any other workspace you use.

Before you begin

  • You have access to Funnel AI in the workspace. The AI menu is hidden if you don't.

  • Anyone with access to the workspace can open Tool permissions. To change the permission for an action, your role must let you edit that type of item, for example dashboards or exports. See Workspace: User roles.

Set tool permissions

Each action has three options:

  • Always allow: Funnel AI runs the action without showing an approval card.

  • Ask each time: Funnel AI shows an approval card and waits for you. This is the default for every action.

  • Never allow: Funnel AI doesn't run the action in your chats.

  1. In the left menu, go to AI > Tool permissions. The page opens in full view.

  2. Find the action you want to change. To see what an action does, hover over the info icon next to it.

  3. Select Always allow, Ask each time or Never allow for that action.

Note: To set every action in a group at once, use the toggle on the group card. Each card shows how many of its actions are always allowed, for example 2 of 5 always allowed.

  4. (Optional) To set every action at once, use the toggle on the Manage permissions for all tools card at the top of the page. The card shows a summary of your settings, for example 3 always allow · 12 ask each time.

If your role doesn't let you edit an item type, you can't change the toggles for those actions. Hover over a toggle to see which permission you're missing. Your workspace admin can give you access. If a change can't be saved, you see Your change was not saved.

Note: If the page says Tool permissions are not available for this workspace yet, you can't set tool permissions in this workspace.

Actions you can set

The page lists only actions that change something in your workspace. Actions that only read your data aren't listed. The Portals, Exports and Budgets groups appear only when those actions are available in your workspace.

Actions that always ask

Only actions that are easy to undo can be always allowed. The following actions aren't listed on the page, and Funnel AI always asks before it does them. You can't change this.

  • Delete a client portal or a portal brand.

  • Delete a scheduled task.

  • Create a support request.

  • Create, delete or reconnect a data source.

  • Switch the template of a data source.

  • Turn Download new data or Use in Funnel on or off for a data source.

Always allow an action from an approval card

You can also set an action to Always allow while you approve it in a chat.

  1. When Funnel AI shows an approval card, review the change.

  2. Click Always allow. For a new scheduled task, click Confirm and always allow. Funnel AI makes the change and runs this action without asking from now on.

Note: The Always allow button appears only for actions that you can set on the Tool permissions page and that are currently set to Ask each time. If you see Approved, but Always allow was not saved, Funnel AI made the change but didn't save the permission. Set it under AI > Tool permissions.

What to expect

When an action is set to Always allow, Funnel AI makes the change without stopping, and the chat shows Auto-approved by tool permissions. Funnel AI can then finish long tasks while you work elsewhere, instead of waiting at an approval card. For how Funnel AI keeps working on answers in the background, see Getting started with Funnel AI.

When an action is set to Never allow, Funnel AI doesn't run it. It tells you in the chat that the action is set to Never allow and that you can change it under AI > Tool permissions. It doesn't work around the setting. For example, if Create portal brands is set to Never allow, Funnel AI also can't create a brand while it creates a portal.

Tool permissions don't apply when a scheduled task runs. See Schedule tasks.
